This policy explains what information the InstiLog Teacher app collects, why, and how it is handled. InstiLog Teacher is provided by xemaai, a company registered in India, and is used by teaching and school staff.
1. Who this app is for
InstiLog Teacher is for teachers and school staff. Accounts are created by your school — you cannot sign up on your own. Your school decides which classes and features you can access.
Parents and students use a separate app, with its own privacy policy.
2. Who is responsible for the information
Your school is the data controller — it decides what is recorded about students and staff, and it grants and removes your access. xemaai is the data processor — we provide the software and store the information securely on the school's instructions.
3. Information the app handles
About you (the teacher or staff member)
- Name and email address (used to sign in)
- Your staff role and the classes or subjects your school assigns you
- Login credentials — passwords are stored only as one-way encrypted hashes and cannot be read by us or anyone else
- A device notification token, so messages from your school can reach your phone
- Basic technical logs needed to keep the service running and secure
About students in your assigned classes
To do your work, the app shows you information about the students your school has assigned to you:
- Student names, roll numbers, class and section
- Attendance records, which you mark
- Marks and results, which you enter
- Assignments and homework you set, including any files you attach
- Class timetables and exam schedules
You see only the classes your school assigns to you. Your school controls this, and can change or withdraw it at any time.
Files you attach
When you attach a file to an assignment, the app opens your device's file picker so you can choose it. The app accesses only the file you select, at the moment you select it. It does not browse, scan or read anything else on your device, and it does not access your photo library, contacts or location in the background.
4. Information about children
The app necessarily shows information about children, because that is what teaching requires. It is handled with care:
- You see only students in the classes your school has assigned to you.
- Student information in this app is for school work only. It must not be copied, shared or used for any other purpose.
- Children's information is never used for advertising, profiling or marketing.
- Your school can withdraw your access at any time.
5. How the information is used
- To let you mark attendance, enter marks, set assignments and see your timetable.
- To show you the classes, subjects and students your school has assigned to you.
- To let your school send you notices and reminders.
- To keep the service secure and working correctly.
We do not use this information for any purpose of our own beyond providing and improving the service to the school.
6. Notifications
If notifications are enabled, the app may send you school announcements and reminders. Your school controls which are switched on. You can turn notifications off at any time in your phone's settings.
7. Service providers
We use a small number of trusted providers to run the service. They process information only on our instructions:

We do not sell, rent or share information with advertisers, data brokers, or any other third party for their own purposes.
8. How information is protected
- All traffic between the app and our servers is encrypted using HTTPS.
- Passwords are stored as one-way hashes and cannot be read by us or anyone else.
- Uploaded files are stored privately and served only through temporary links that expire.
- Access is controlled by role and permission: you see only what your school authorises.
- Each school's data is kept separate from every other school's.
No system can promise absolute security, but we take these measures seriously and review them.
9. How long information is kept
Information is kept for as long as your school uses the service and as long as the school needs it for its records. Attendance you mark, marks you enter and assignments you set become part of the school's records and remain with the school. If a school stops using InstiLog, its data is deleted or returned according to our agreement with that school.
10. Your choices
- Access or correction of your staff details: contact your school — it holds and controls those records.
- Notifications: turn them off in your phone settings at any time.

11. Changes to this policy
If we change this policy we will update the date at the top of this page. Significant changes will be communicated to schools using the service.
